WHAT DATA WE COLLECT AND WHY

Enquiries and contact forms

When you submit an enquiry via our website contact form, we collect your name, email address, phone number, wedding date, venue, and any other details you include in your message. We use this information to respond to your enquiry and assess whether we are a good fit for your wedding. The legal basis for this processing is legitimate interests, as it allows us to respond to enquiries and manage potential bookings.

Booking and client data

When you book our services, we collect and process personal information necessary to fulfil the contract between us. This includes your full name, address, email address, phone number, wedding date, venue, and payment details. We also collect information about other people relevant to your booking, such as your partner’s name and contact details. The legal basis for this processing is the performance of a contract.

Payment processing

Payments are processed via bank transfer, standing order, or Klarna. Where you pay via Klarna, your payment data is processed directly by Klarna Financial Services UK Ltd under their own privacy policy. We do not store your payment card details.

Website enquiry and gallery delivery

We use Studio Ninja as our client relationship management system to store booking information, contracts, invoices, and communications. Images are delivered via Pic-Time, an online gallery platform. Both services process personal data on our behalf as data processors and are bound by data processing agreements.

Website usage data

Our website uses cookies for basic functionality. We do not use tracking cookies for advertising or analytics purposes beyond what is described in our cookies section below.



AI TOOLS IN OUR WORKFLOW

We use AI-assisted software as part of our post-production workflow, including tools for image culling and editing (currently Aftershoot). These tools process low-resolution versions of images on encrypted servers to assist with image selection and editing consistency. We do not knowingly submit images of you or your guests to any platform or dataset for the purpose of training third-party artificial intelligence or machine learning models.

Where we use third-party platforms as part of our standard workflow, we use services that contractually prohibit the use of uploaded content for AI training purposes. We take reasonable steps to ensure that all third-party providers we use process data in accordance with UK data protection law.



WHO WE SHARE YOUR DATA WITH

We share data with the following third-party processors where necessary to deliver our services:

Studio Ninja (client management): stores booking data, contracts, invoices, and client communications.

Pic-Time (gallery delivery): stores and delivers your wedding image gallery. Pic-Time’s privacy policy is available at pic-time.com.

Klarna Financial Services UK Ltd (payments): processes balance payments where Klarna is selected as a payment method. Klarna’s privacy policy is available at klarna.com.

Aftershoot (image processing): processes low-resolution image versions for AI-assisted culling and editing. Aftershoot’s privacy policy is available at aftershoot.com.

Google (website hosting and email): our website is hosted on servers that may use Google Cloud infrastructure. We use Google Workspace for business email.

We do not sell your personal data to any third party. We will never share your personal data with other wedding vendors or venues for marketing purposes, except where you have given consent within your contract (model release clause).



WEDDING IMAGES

All images taken at your wedding remain the copyright of Joshua Humphrey Photography. Where you have consented to promotional use under your contract, images may be shared on our website, social media, and portfolio for marketing purposes. Where you have not provided this consent, your images will not be used publicly.

Images are stored securely for two years from the date of delivery. Your online gallery remains accessible for one year. After these periods, images may be permanently deleted. It is your responsibility to download and retain your own copies within the storage period.



HOW LONG WE RETAIN YOUR DATA

Enquiry data: retained for 12 months from the date of enquiry, or until you ask us to delete it.

Client and booking data: retained for six years from the date of the event, in line with HMRC record-keeping requirements and standard contract limitation periods.

Images: retained for two years from delivery as set out above.

Communications: email correspondence is retained for six years from the date of the last communication.



YOUR RIGHTS UNDER UK GDPR

You have the following rights in relation to your personal data:

The right to access: you can request a copy of the personal data we hold about you.

The right to rectification: you can ask us to correct any inaccurate data we hold.

The right to erasure: you can ask us to delete your personal data where we no longer have a lawful basis to hold it. Note that we may be required to retain certain data for legal or financial reasons.

The right to restrict processing: you can ask us to limit how we use your data in certain circumstances.

The right to data portability: you can request your data in a commonly used, machine-readable format.

The right to object: you can object to processing based on legitimate interests.
